About VIAODE
VIAODE provides fleet-management software for independent UK private-hire fleet owners. The published contact for the pilot is Valentin — Founder, VIAODE.
Information we handle
- Account and authentication information, including your email address and sign-in details, to provide access. Authentication uses cookies to maintain your session.
- Business and fleet information entered by fleet owners or authorised members: vehicles, driver names and optional contact details, assignments, rent and payment records, expenses and compliance expiry dates.
- Information you choose to share when asking for support or giving feedback.
Fleet owners decide what information to enter and are responsible for having authority to share it and informing the people concerned. During the pilot, avoid entering unnecessary personal information, sensitive details or personal information in free-text notes that is not needed for fleet management.
How information is used
Information is used to provide access and fleet-management functions, secure and maintain the service, investigate problems, provide support and improve the service using pilot feedback.
Infrastructure and access
VIAODE uses Supabase for authentication and database infrastructure, and Vercel for application hosting. These providers process information as part of delivering that infrastructure.
Fleet data is logically separated through application authorization and database Row Level Security. Fleet members have access according to the permissions available in the application. Authorised access by VIAODE and its infrastructure providers may be needed to operate, maintain or support the service.
The WhatsApp contact link takes you to a separate service. If you use it, WhatsApp processes your contact and message information under its own privacy terms. Share only what is needed to explain your question.
Records and retention
The pilot retains fleet and financial history. Archiving a vehicle or driver, ending a rental or voiding a payment does not permanently erase the associated records. There is no automatic account or financial-history deletion workflow in V1.
Retention and deletion requests are reviewed with regard to the information involved, ongoing service and support needs, and any applicable record-keeping obligations. Contact VIAODE to discuss your records or ending your participation.
Privacy questions and your rights

Requests are handled individually; we may need to verify your identity and coordinate with the relevant fleet owner.
Depending on the circumstances, you may also have rights to restrict processing or receive a portable copy of your information. You can object to processing where that right applies. Requests are considered under applicable data-protection law; deletion is not unconditional.
You can also raise a data-protection concern with the UK Information Commissioner’s Office through its complaints page.
